Privacy Policy

Refinery Hoops is a coaching app for youth basketball teams, made by Refinery Athletics in Michigan, USA ("we", "us"). This page explains what information the app keeps, why, who can see it, and how to delete it. We wrote it in plain English on purpose.

Who uses the app

Coaches use Refinery Hoops to run their team. Parents and guardians can join a read-only family page when their coach sends them a link. Players do not sign up or log in. Refinery Hoops is meant for adults; it is not directed to children, and we don't knowingly let anyone under 13 create an account.

What we keep

Your account (coaches and parents)

• Your email address and password. Passwords are stored as a secure hash; we can't read them.
• Your name, if you add one, and app settings such as your Quick access buttons.

Team information a coach enters

• Players: name, jersey number, position, and whether they're active on the roster. Coaches can show only initials or numbers to families.
• Games and practices: dates, times, locations, opponents, scores, game stats, playing time and practice plans.
• Coach-only notes: grades and player notes are visible only to the team's head coach.
• Family contacts: names, phone numbers and emails of parents or guardians, so coaches can reach families. Only the team's coaches can see these.
• Posts the coach shares with families, and league rules for the team.

Things parents send

• Which player is theirs, and "can't make it" answers for games and practices, with an optional short note.

On your phone

• The app saves a few things on your device so it works in gyms with bad signal: your sign-in, light or dark mode, the team you were working in, and stats that haven't finished saving. This stays on your device and is not used for tracking.

We don't collect your location, contacts list, photos, or payment information.

How we use it

Only to run the app: show your team to its coaches and families, keep stats and schedules, and send sign-in emails such as password resets. We don't use your information for advertising, and we don't use it to train AI.

Who can see it

• Coaches on the team see the team's roster, schedule, stats, practice plans and family contacts. Assistant coaches don't see the head coach's private grades and notes.
• Parents on the family page see a read-only view: schedule, scores and stats, coach posts and league rules, with player names shown the way the coach chose. They never see practice plans, coach notes, playing time charts or other families' contact information.
• Links the coach shares. A coach (or a parent) can share a game's watch link, and a coach can share a calendar link. Anyone with one of these links can see what it shows: for a watch link, the game's score and stats with names shown the way the coach chose; for a calendar link, the team's schedule only. A coach can turn a link off by making a new one.
• Service providers. The app runs on Supabase (database and sign-in) and Cloudflare (website hosting). They store and process data only to provide these services to us.
• The law. We would share information only if required by law or to protect someone's safety.

Keeping it safe

All data is sent over encrypted connections (HTTPS). The database checks every request, so coaches only reach their own teams and parents only reach the family pages they've joined.

Deleting your information

• Delete your account in the app: Settings (or More → Teams & Account) → Delete my account. The app shows exactly what will happen before anything is deleted.
• If you're the head coach and no other coaches are on a team, the team and everything in it is deleted. If other coaches are on the team, you can hand it to them or delete it.
• If you're a parent, you're removed from every family page. "Can't make it" answers you sent stay with the team's attendance, no longer tied to you.
• Coaches can delete players, games, family contacts and posts at any time.
• Parents can ask the coach to remove their contact information, or email us and we'll take care of it.

Deleted information is removed right away. Copies in our hosting provider's backups are cleared within 30 days.

If you'd like a copy of your information, or want something corrected or deleted and can't do it in the app, email us at trainrefinery@gmail.com. We'll reply within 30 days.

Children's information

Coaches enter basic information about the young players on their team: names, jersey numbers, stats and attendance. We use it only to run the team in the app and never for advertising. A parent or guardian who wants their child's information changed or removed can ask the coach or email us, and we'll delete it.

Changes

If we change this policy, we'll update this page and the date at the top. If a change is significant, we'll let you know in the app.
